Supporting events that strengthen community connection, celebrate local identity, and activate the Shire of Capel.

The Shire of Capel Event Sponsorship Program provides funding support for events that deliver social, cultural, environmental, and economic benefits to our community.

We welcome applications from community groups, organisations, and event organisers who are passionate about creating meaningful experiences within the Shire.

Please note: for quotes
- For items up to $1,000 – 1 documented verbal quote is to be obtained
- For items between $1,001 and $5,000 – 1 written quotation is to be obtained
- For items over $5,000 – 3 written quotes are to be obtained

For calculating the value of donated labour, materials, goods, etc.,
Request written quotation from an equivalent tradesperson or supplier to provide similar
services and material/goods to record on both the expenditure page and the income page as an in kind donation.

• The provider of the labour donation should hold relevant qualifications in the field of
service they are providing.

Who Can Apply?

Community groups, incorporated associations, not-for-profit organisations, sporting clubs, schools, businesses and event organisers may apply, provided the event aligns with the Sponsorship Guidelines.

What types of events can receive sponsorship?

Events that provide social, cultural, environmental or economic benefits to the Shire of Capel community may be considered.

Does receiving sponsorship guarantee event approval?

No. Sponsorship funding and event approvals are separate processes. Events may still require permits, approvals and licences before proceeding.

Can I apply if my event charges an entry fee?

Yes. Ticketed events may still be eligible for sponsorship.

Can businesses apply?

Yes, provided the event demonstrates clear community benefit and aligns with the Sponsorship Guidelines.

What can sponsorship be used for?

Event Sponsorship funding is intended to support costs directly associated with the delivery of an event.

Examples may include:

 

  • Entertainment and performers
  • Equipment and infrastructure hire
  • Event contractors and professional services
  • Marketing and promotional activities
  • Accessibility initiatives
  • Safety and compliance requirements
  • Community activities and programming
  • Venue or facility hire (where applicable)

 

Funding requests should clearly demonstrate how the expenditure contributes to the successful delivery of the event and aligns with the objectives of the Sponsorship Program.

What supporting documents do I need?

You may need to provide:

  • Event budget
  • Quotes
  • Event plans
  • Marketing plans
  • Evidence of insurance
  • Additional supporting information relevant to your event

If my application is successful, when will I receive funding?

Successful applicants will receive a Sponsorship Agreement outlining payment arrangements and reporting requirements.

When will I hear back about an outcome?

Applications will be assessed after the closing date. Applicants will be notified once assessment and approval processes have been completed.

What happens after approval / What are the funding conditions?

Successful applicants will receive written notification outlining the sponsorship amount awarded and any conditions of funding.

Applicants may be required to:

 

  • Sign a Sponsorship Agreement.
  • Provide a Tax Invoice (if applicable).
  • Provide evidence of insurance.
  • Complete any outstanding event approval requirements.
  • Acknowledge the Shire of Capel's support in promotional materials and event communications.
  • Submit an Event Report and Financial Acquittal after the event.

 

Funding will be released in accordance with the Sponsorship Agreement and Sponsorship Guidelines.

Will I need to provide a report after the event?

Yes. Successful applicants are required to provide an event report and financial acquittal outlining how the sponsorship funding was used.

Should I speak with a Shire Officer before applying?

Yes. We encourage all applicants to discuss their event idea with the Community Development Team before submitting an application. Early conversations often help strengthen applications and identify any approval requirements.

What if my event changes after funding is approved?

If there are significant changes to your event, including event dates, location, program, budget or intended use of sponsorship funds, you must notify the Shire of Capel as soon as possible.

 

Any changes to the approved use of sponsorship funding must be approved by the Shire prior to the event proceeding
